Major Events sponsorship - open Friday

Applications are invited for the 2016-17 TCDC Major Events sponsorship fund from Friday 8 July 2016.

If you have a major event that will boost economic growth and bring domestic and international tourists to the Coromandel, then your organisation could be eligible for one of our Major Events Grants.

The grants, which are available on a multi-year basis (2016-17 and 2017-18 financial years), are designed to support major iconic events which fall outside the "peak' holiday season from 15 December - 31 January.

Previous grant recipients include a wide range of events such as the K2 Cycle Race, the Mercury Bay Music Festival, the Illume Festival, Thunderbeach, Mindsports and Brits at the Beach.

One of the recipients, Illume, the Coromandel Winter Festival of Light is on next weekend. Illume is a free family festival, lighting up the main street of Coromandel Town with live music, projections, street performers, lights, great food, fun and laughter.

Note that funding is not available to individuals, and the Major Events Fund is not for the payment of wages or honorariums.

To apply, please complete an application form and then either post it to the Major Events Sponsorship Fund, Thames-Coromandel District Council, Private Bag, Thames 3540, or email tocustomer.services@tcdc.govt.nz

To help develop your application, we recommend that you read the Major Events criteria (below). Please also refer to our Events Manual for handy tips and hints on how to make a success of your event on the Coromandel.

Timeline:
• Friday 8th July 2016: Applications to the fund open.
• Friday 5th August 2016: Applications due by 5pm.
• Tuesday 6th September 2016: Funding decisions will be made by the Economic Development Committee at their meeting on this day.

• Cover letter
• Application form
• Supporting business case/marketing plan

Criteria for Major Events Sponsorship

• Assistance will only be available for events held within the Thames-Coromandel District

• Events must occur outside the "peak" holiday season from 15 December - 31 January.

• Preference will be given to annual events or one-off events with a proven track-record of success in other districts

• Will attract a strong national and regional media profile

• Will attract holiday-home owners back to the Coromandel

• Will attract domestic tourists (and internationals if they are already in NZ)

• The event must be unique to the Coromandel or align well with the district's brand

• The Major Events fund is not for the payment of wages or honorariums

• Funding is not available to individuals

• Maximum of three years funding (within Ten Year Plan cycles subject to the availability of the Major Events fund)

• Applicants must submit a strong business and marketing plan (with economic impact evaluation)

• Applicants will adhere to all legal requirements for the provision of the event

• All applications must be accompanied by the most current statement of financial position available and a budget projection for the event

• All successful applicants must acknowledge the support of the Thames-Coromandel District Council on any correspondence, advertising or other publicity material and co-brand events with the "Good for Your Soul" positioning (Destination Coromandel)

• Applications must be made on the form available (Major Events Application Form)

• Any Major Event funds not spent on the project for which the funds were applied for by the close of the Council’s financial year must be returned to the Thames-Coromandel District Council unless written approval to retain the funds is obtained from Council

• A report on the success of the event and clarification/evidence (i.e. tax invoice) that the fund was spent appropriately to be provided to the Council within three months of the event finishing

• All decisions on applications will be made by the full Council, or delegated Committee, as per Standing Orders

Preference will be given to events that provide the best potential for economic benefit including:

• Potential to attracts at least 5000 visitor days to the Coromandel (or equivalent economic impact)

• Will attract strong support from RTO and private sector

• Potential to become an icon event


Feature your event in Our Coromandel Summer Magazine


If you're organising an event on the Coromandel this summer and need to give your publicity a boost - talk to us about a free listing in our glossy Council guide to summertime on the Coromandel.

Our Coromandel summer magazine will be on shelves from November and is designed to stick around until April next year.

We're sending copies to non-resident ratepayers to show them just how many awesome reasons there are to come more often and stay longer.

Last summer's third edition was our most popular yet and we're making it even better this summer. The Events section will feature an event calendar highlighting some of the range of great things to see and do all summer long.

"This isn't a complete event guide because there are other publications around the Coromandel that cater to that service and we wouldn't fit all events in," says Communications and Marketing Manager Laurna White. "But if you can send us details of your event we'll try to include it in this next edition of Our Coromandel Summer Magazine."


Five easy steps to submit your event

Email Rebekah Duffin with the following:

1 - Name of your event
2 - Location (town and specific location) of your event
3 - Date and times of your event (start and finish dates if more than one day)
4 - 50 words or less telling readers what's on offer for them
5 - A logo, graphic or photo. If sending a photo, make sure it's one that works when seen small and is good enough for a complete stranger to get a feel for the atmosphere or content of your event.
