New Plymouth District Council signs with TechTonics for Document and Records Management System

400-seat implementation successfully delivered in record time

New Plymouth District Council has selected leading Information Management consultancy TechTonics to supply, implement and support an Electronic Document and Records Management System (EDRMS) based on the eDocs (formerly Hummingbird) suite from Open Text.

The system has been implemented using a unique two-round prototyping methodology developed by TechTonics’ specialist Information Management team. This has enabled delivery to User Acceptance Testing within just three months – a very tight timeframe for large, complex EDRMS projects.

The system is replacing multiple existing information repositories to effectively manage unstructured information and will be tightly integrated with the Council’s existing core databases, including financial and rating systems.

“The EDRMS will be an important element in enabling us to deliver on our ‘Customer First’ service strategy, by enabling council staff to easily access the right information regardless of where or in what form it is held, and to deliver it to customers in the right way, on time, every time. Other benefits will include decreased costs and risks,” says Steve Taylor, the Council’s General Manager Support Services.

TechTonics was chosen because of its extensive track record in delivering successful EDRMS systems, supported by a large team of specialist Information Management consultants.

“TechTonics has an excellent reputation for completing technically and commercially successful EDRMS implementations. Their team was able to design and implement the solution on-time and within budget, while ensuring it would deliver on our business objectives and our users’ expectations,” says Taylor. “TechTonics is also providing us with excellent on-going support, including smoothly handling the migration from our existing repositories and integration with our other core systems.”

The initial implementation is for 400 seats. The system will be rolled out across multiple council sites including the Puke Ariki museum and library, the cemeteries and crematorium service, and function venues.
