NZ Business achieves true paperless transformation

Media Release

11 April 2019

NZ Business achieves true paperless transformation thanks to simPRO’s eForms

Removing all paper and analogue filing has led a Christchurch-based electrical company on a transformational path of success, and its managers are calling for all New Zealand businesses to take the digital route.

RED Electrical, a long-term simPRO customer, as an all-encompassing business can provide minor electrical services while also delivering on the major requirements by larger corporate clients. As a result of its broad portfolio, RED Electrical is required to file and store a large amount of customer information and manage larger amounts of invoice records and job details.

Since abandoning the ways of the past, which included copious paper records, and adopting simPRO’s job management software, RED Electrical Director Scott Aldridge said the digital way is now an “absolutely central” part of the business.

“In order to do a servicing job in our industry, it’s vital to complete certificates of compliance and safety certificates,” he said. Only a few years ago, that meant it was somebody’s job to keep chasing job certificates; scanning, photocopying and emailing all had to be factored into handing everything in on time.

“With a digital business model, we’ve been able to save significant amounts of time and money. Certificates, for example, no longer need to be physically chased up and handed in,” Scott said.

“It’s also fundamentally changed how we schedule and charge for jobs. Through a simple well-labelled attachment and a click of a button we can view who of our clients need a job completed and where we need to send out invoices,” he said.

“The paperless approach has helped our business changes. simPRO is part of our DNA.”

RED Electrical are customers of global company simPRO, which specialises in providing cloud-based job management software. Their recently released solutions include an eForms app update, simPRO IoT, SMS and Data Feed, and are designed to remove the paper trail from a business’s operations and replace it with an online solution that streamlines administrative processes including job scheduling and invoicing, and builds the foundation for more profitable business models.

simPRO New Zealand General Manager Ricky Sevta said RED Electrical’s situation is one of many across the world as more businesses learn to adopt more digital approaches to tasks that once demanded significant amounts of time and energy and could stop businesses from reaching their true potential.

“I encourage all businesses in New Zealand to seriously consider becoming more familiar with the services out there that are designed to help streamline the average work day,” he said.

“As a business owner or manager, how many times have you been unable to secure a new client or project, because you and your staff needed that time to process the mountain of paperwork and job schedules from your current client base?

“The capabilities are there and the sooner businesses embrace the true benefits of job management, the sooner New Zealand’s economy can grow stronger.”

As for RED Electrical, the evidence has been clear and there’s no intention of going back.

“Job management software has helped us grow and enabled us to go in with a point of difference. We can share with clients our jobs’ work notes and show property managers our system.

“The paperless system provided to us by simPRO has allowed us to alleviate the administrative side of business and concentrate on servicing clients – we can now answer urgent ‘set-and-forget’ job requests that, with their tight turnarounds, would have pretty much been impossible without simPRO.

“This way of doing things has enabled us to become a higher margin business.”
